The project is being implemented in close collaboration with the MODUS X team, a Ukrainian IT company specializing in innovative digital solutions. MODUS X was responsible for developing the technological solutions for automating HR processes to provide employees with a convenient and multifunctional user experience.
Prior to the implementation of the HR services digitalization project, DTEK’s employees and HR managers faced numerous challenges:
- Lack of automation – all services for production specialists were available solely on paper;
- Complexity and delays in accessing services, which were only available in the office during business hours;
- Absence of user-friendly digital tools for managers to access comprehensive information about subordinates;
- Discrepancy between employee expectations, accustomed to high-quality digital solutions outside the company;
- Extensive paper documentation requirements, leading to additional administrative effort and time.
The project’s strategic vision is to make HR services as accessible as possible to all company employees, particularly production specialists who previously did not have access.
- Transition from paper-based to digital HR processes;
- Creation of employee and manager personal accounts for easy interaction with HR departments;
- Enhancement of service response times through direct integration with SAP and Diia;
- Remote and mobile access to HR services via mobile devices;
- Integration of Diia Sign for online electronic document signing;
- Increased HR process efficiency through improved transparency and faster processing of requests and documents.
Within the digitalization project, MODUS X has developed and enhanced various digital HR services available on web and mobile platforms 24/7, focusing primarily on improving the employee experience and boosting HR administrative efficiency.
MODUS X developed a user-friendly interface for managing employee personal information and services on DTEK’s corporate portal. “My Space” provides personal data, including information on joint roles, and allows editing, photo updates, and social media contacts.
“My Space” is the single access point for updated HR services: “Leave,” “Certificates,” “Termination,” along with current services such as “Annual Performance Review,” “Payslip,” “Remote Work Schedule,” and more.
The service is available to all office employees within DTEK Group.
MODUS X integrated leave application services into both mobile and web platforms. Through the service, employees can review available leave types and limits. A comprehensive list of legally compliant leave options is available for online application.
In the web version, employees can apply for leave for their primary role and any joint roles, while the mobile app currently supports leave applications for primary roles only. The service also enables simultaneous creation and approval of multiple leave applications, providing greater flexibility in planning.
A “Leave Schedules” feature has been introduced to replace manual scheduling, facilitating automated creation, approval, and administration in a unified system.
This service is accessible to all employees within DTEK Group.
Thanks to the new MODUS X solutions, employees can now view their payslips via the company’s mobile app on iOS and Android, which is particularly convenient for production workers without computer access.
The service was designed with the needs of production specialists in mind, who typically lack workplace computers. Previously, only office employees had access to their payslips via the corporate portal, while production staff received printed paper copies.
The service is available to all DTEK Group employees.
A new “Certificates” web service has been developed and implemented on DTEK’s corporate portal and is also available on the DTEK mobile app.
The enhanced service allows for a wider range of certificates to be requested; employees can order certificates for both primary and joint roles, report changes to personal data, and provide supporting documents online.
With a simple and intuitive interface, the new service streamlines the certificate request process. Employees simply log in, select the certificate type, specify the preferred delivery method, and submit the request.
This service is available to all DTEK Group employees.
